Deleting multiple emails from Outlook can be a time-consuming task, especially if you have a cluttered inbox like mine. In this article, I will share with you my personal tips and tricks on how to efficiently delete multiple emails from Outlook, saving you both time and frustration.
Step 1: Sort and Filter Emails
The first step in decluttering your inbox is to sort and filter your emails. Outlook provides various options for sorting and filtering, such as by date, sender, subject, or specific keywords. Personally, I find the “Sort by Date” option most helpful, as it allows me to focus on deleting the older emails first.
Additionally, you can use the search bar to filter emails based on specific criteria. For example, if you want to delete all emails from a particular sender, simply enter their name in the search bar and Outlook will display all related emails.
Step 2: Select Multiple Emails at Once
Now that you have sorted and filtered your emails, it’s time to select multiple emails at once for deletion. To do this, simply hold down the Ctrl key (or Command key on Mac) and click on each email you want to delete. You can also use Shift + Click to select a range of emails at once.
If you have a large number of emails to delete and they are scattered throughout your inbox, you can make use of the “Select All” option. To do this, click on the topmost email you want to delete, hold down the Shift key, and click on the bottommost email. This will select all emails in between as well.
Step 3: Delete the Selected Emails
Once you have selected the desired emails, it’s time to delete them. You can either right-click on one of the selected emails and choose “Delete” from the context menu, or simply press the Delete key on your keyboard.
Alternatively, you can also use the Delete button in the Outlook toolbar, which is represented by a trash bin icon. Clicking on this button will instantly delete all the selected emails.
Step 4: Empty the Deleted Items Folder
After deleting the selected emails, they are moved to the Deleted Items folder. To permanently remove them from your Outlook account and free up storage space, you need to empty the Deleted Items folder. To do this, right-click on the Deleted Items folder and select “Empty Folder” from the context menu.
Conclusion
Deleting multiple emails from Outlook doesn’t have to be a tedious task. By sorting, filtering, selecting, and permanently deleting emails, you can quickly declutter your inbox and improve your productivity. Remember to regularly take the time to clean up your inbox to maintain a well-organized email system.
